1 Who We Are
Maai Services Group (“Maai Services Group,” “we,” “our,” or “us”) provides AI-advisory, implementation, and related consulting services. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you visit maai-services.com (the “Site”) or interact with us online or offline.
2 Information We Collect
Information you provide directly
Contact details such as your name, job title, company, email address, and phone number.
Any content you submit through web forms, emails, or meeting requests.
Billing or payment information if you become a client.
Device and usage data
IP address, browser type, device ID, operating system, and referring URLs.
Pages viewed, time spent on each page, and click-stream data, captured via cookies, pixels, and server logs.
Analytics data
Aggregated traffic metrics—page views, bounce rate, conversion events—collected through Google Analytics 4 or a comparable privacy-focused tool. (IP addresses are anonymised before storage.)
Marketing-interaction data
Email-engagement metrics such as opens, link clicks, and event-registration responses, captured via our email-marketing platform.
We do not knowingly collect sensitive personal data (for example, health information or government-issued IDs) unless it is essential to a specific client engagement and covered by a separate written agreement.
3 How We Use Your Information
Responding to enquiries and scheduling meetings — to take steps at your request before entering into a contract.
Delivering proposals, invoices, and client work — to perform a contract with you.
Sending newsletters, product updates, and event invitations — based on your consent; you can unsubscribe at any time.
Improving the Site, ensuring security, and preventing fraud — because we have a legitimate interest in running a secure, high-performing website.
Performing aggregated analytics — to understand audience segments and campaign ROI, relying on legitimate interest and anonymising data wherever possible.
Meeting legal obligations — such as bookkeeping, tax, and regulatory requirements.
4 Cookies and Similar Technologies
We use first-party session cookies that are essential for basic site functionality and optional analytics cookies for traffic insights. On your first visit you will see a cookie banner that allows you to Accept All or Decline Non-Essential cookies. You may also delete or block cookies through your browser settings; doing so will not break core site features but may reduce analytics accuracy.
5 How We Share Information
Maai Services Group does not sell your personal information. We share data only with:
Service providers who host our infrastructure, send emails, or supply analytics tools; all are bound by confidentiality agreements.
Professional advisers such as lawyers and accountants, but only as necessary.
Government authorities or law-enforcement agencies when required to comply with legal or regulatory obligations or to protect our rights.
Successor entities in the event of a merger, acquisition, or asset sale; you will be notified of any such change of ownership.
6 International Transfers
We primarily store data in the United States. When transferring personal information from the European Economic Area, the United Kingdom, or Switzerland, we rely on Standard Contractual Clauses or an adequacy decision to ensure an equivalent level of protection.
7 Data Retention
Marketing-contact data: deleted or anonymised twenty-four (24) months after the last interaction.
Client files: retained for seven (7) years after the contract ends to satisfy tax and audit obligations, then securely deleted.
Server logs: stored for up to twelve (12) months for security diagnostics.
Backup archives may be kept longer if required to establish, exercise, or defend legal claims.
8 Your Privacy Rights
EEA, UK, and Swiss residents have the right to access, rectify, erase, restrict, or object to processing, to request data portability, and to lodge a complaint with a supervisory authority.
California residents have the rights provided under the CCPA/CPRA to know, delete, correct, and opt out of “sharing” for cross-context behavioural advertising. Maai Services Group does not sell personal data.
All users may unsubscribe from marketing emails at any time or contact us to exercise any privacy right. We respond within thirty (30) days.
9 Security
We protect personal information with industry-standard safeguards such as HTTPS encryption, least-privilege access controls, periodic penetration testing, and vendor security reviews. No Internet transmission is completely secure, but we continually improve our defences.
10 Children’s Privacy
The Site is not directed to children under sixteen (16) years of age. We do not knowingly collect information from anyone under sixteen. If you believe we have inadvertently collected such information, please contact us and we will promptly delete it.
11 Changes to This Policy
We may revise this Privacy Policy from time to time. The “Last updated” date at the top of the page reflects the most recent changes. Material updates will be announced via a banner on the Site or by direct notice where feasible
